Small Business Technology

Small business technology consulting helps companies replace manual processes with connected, efficient systems. Spreadsheets everywhere, manual data entry that eats hours, disconnected tools that don't talk to each other - the average small business loses significant productivity to these inefficiencies. We meet you where you are and move you forward pragmatically: business intelligence dashboards, CRM implementation, workflow automation, and the right SaaS tools set up properly with your team trained to use them. No enterprise software you don't need, no jargon, no overengineering.

Overview

What is small business technology?

Small businesses often end up with technology by accident rather than by design. A CRM was added when the sales team grew. Accounting went on Xero. Operations runs on a custom spreadsheet someone built three years ago. None of these systems talk to each other, and the gaps between them are filled with manual work.

We help small businesses get intentional about their technology. That means understanding what you are actually trying to do, mapping the current state honestly, and then recommending the simplest set of tools and integrations that solves the real problems. We do not sell you enterprise software you do not need, and we do not build custom systems when an off-the-shelf tool does the job.

Most small business technology engagements run over four to eight weeks and include setup, integration, data migration where needed, and team training. The goal is that your team is self-sufficient at the end - not dependent on us for ongoing support.

Why it matters

When you need this

Spreadsheets do not scale

Spreadsheets are flexible, which is why they get used for everything. But a spreadsheet shared across a team, updated manually, with no audit trail or access control is a liability - not an asset. At some point, the cost of getting it wrong exceeds the cost of doing it properly.

Disconnected tools create invisible costs

Every time data has to be manually copied from one system to another, there is a labour cost, an error risk, and a delay. In a business with 20 people, these invisible costs can easily add up to a full-time equivalent of wasted time.

No visibility on your own business

If answering "how did we do last month?" requires two hours of spreadsheet work, you are flying blind. Business intelligence should be fast and accessible - not something that requires a finance degree and a free afternoon.

Wrong tools are worse than no tools

Many small businesses pay for tools nobody uses, or use tools for purposes they were not designed for. Getting the right tools, set up properly, is more valuable than having the most tools.

Who it's for

Common scenarios

Small Business Owner

Running a 15-person business entirely on spreadsheets and email

A professional services firm with 15 staff runs its entire client pipeline, project tracking, and invoicing through spreadsheets and email threads. Nothing is connected, and the owner spends every Sunday updating the master spreadsheet. We map the workflows, recommend a CRM and a project management tool, integrate both with the accounting platform, and migrate the historical data. The Sunday spreadsheet session ends, and the owner gets live pipeline visibility from their phone.

Operations Manager

Five tools that do not talk to each other, all managed manually

A retail business runs its operations across five platforms - POS, inventory, ecommerce, accounting, and a separate reporting tool - with staff manually reconciling data between all of them every day. We audit the stack, consolidate where we can, and build integrations between what's left. Daily reconciliation drops from hours to minutes.

Founder

Wanted dashboards and visibility on business performance

A founder with a growing services business has data everywhere but no easy way to see how the business is performing. They want a single dashboard for revenue, pipeline, capacity, and margins - but don't know where to start, or whether they need expensive BI software. We build a clean reporting layer on their existing tools plus a lightweight BI platform, train the team, and have it live within a few weeks. No enterprise software, no data warehouse - just the right tools used properly.

FAQ

Common questions

No. We specifically choose tools and configurations that your team can own and maintain without technical expertise. Part of our handover process is making sure the person responsible for each system understands how it works and can make basic changes.

We are tool-agnostic and recommend based on your specific situation. Common picks include HubSpot or Pipedrive for CRM, ClickUp or Notion for project management, Xero or QuickBooks for accounting, and Metabase or Google Looker Studio for reporting. We never recommend tools we do not have hands-on experience with.

Simple setups - a single CRM or project management tool with basic integrations - typically take two to three weeks including configuration, data migration, and training. More complex projects involving multiple systems and custom integrations take four to eight weeks.

Most engagements are scoped as fixed-price projects after a brief discovery session. Costs vary depending on the number of systems, integration complexity, and the extent of data migration required. We provide a clear scope and price before any work begins.

Yes, and we prefer to. Switching tools has its own cost and disruption. Our starting point is always to assess whether your existing tools, used properly and connected properly, can solve the problem before recommending replacements.

We design for your current stage but with a clear path to what comes next. We will tell you explicitly when a system you are on will start to constrain you and what the migration path looks like - so there are no surprises.
